Privacy Policy
We collect as little as possible. This website has no analytics, no advertising, no social media buttons and sets no cookies. The QuiSuite program keeps your business data on your own computers: we never receive your accounts.

1. Who we are
The data controller is QuiSoft Limited, a company registered in Northern Ireland (company number NI744694), registered office Unit 13, Ballymena Business Centre, Fenaghy Road, Ballymena, Co Antrim, Northern Ireland, BT42 1FL.
For anything to do with your personal data, email admin@quisoft.co.uk or use our contact page.
2. What this website collects and why
| What | Why | Lawful basis (UK GDPR Article 6) | How long we keep it |
|---|---|---|---|
| Contact form: your name, email address, subject and message, and the IP address you sent it from | To answer your enquiry, arrange a demonstration or a test drive, or give support. The IP address helps us spot misuse of the form | Legitimate interests in answering people who contact us; or steps you ask us to take before entering into a contract | Up to 2 years after our last contact with you. If you become a customer, as part of our customer records for as long as the law requires (normally 6 years after the end of the relationship) |
| Mailing list: your email address and, if you give it, your name | To send you news of QuiSuite | Your consent, given by ticking the box on the form. You can withdraw it at any time on our unsubscribe page or by emailing us | Until you unsubscribe |
| A scrambled (hashed) form of your IP address, kept on our web server | To limit how many forms one visitor can send in a short time | Legitimate interests in protecting the website against misuse | 10 minutes |
| Web server logs: your IP address, browser type, the page requested, date and time | To deliver the website securely and protect it against misuse | Legitimate interests in running a secure website | Kept by our hosting provider for a short period set by them, then deleted or anonymised. We do not use them to identify visitors |
The site's search runs entirely in your browser: what you type is not sent to us. Please do not send us special category data (such as health information) through the website.
3. The QuiSuite program
- Your business data stays with you. QuiSuite keeps its databases on your own computers or server. We do not receive or hold your accounts. Where you ask us to access your system for support, we do so under your instructions and keep anything we see confidential.
- Licence keys are checked inside the program, with no internet connection: nothing is sent to us.
- Updates: when the program checks for an update it reads a small file from this website. Like any web request, this shows our web server your IP address, which is kept only in the server logs described above.
- Error reports are sent to us only if you choose to send them (or choose "always send"), and the program shows you the complete report first. A report contains diagnostic details only: the window and operation that failed, the error message, the program version, a random installation identifier, the machine name, and the company and user names. It never contains your accounting figures. You can switch error reporting off at any time. We use reports to find and fix faults, on the basis of our legitimate interests in supporting the software, and keep them only as long as we need them to resolve the fault and support you. See section 9 of our Licence Agreement.
- Mailshots: if you use QuiSuite's mailshot feature, this website notes when an email is opened or a link clicked. It keeps only a random code for each recipient, the link clicked and the time: no names, email addresses or wording ever reach us, and the record means nothing outside your own database. For this we act on your behalf, as your processor, under Schedule 1 of our Licence Agreement; you remain the controller of your mailing list.
4. Who we share it with
We never sell or rent your personal data. It is handled only by:
- IONOS, our website host and email provider, which processes it on our behalf under a data processing agreement and stores it in the UK or the European Economic Area;
- professional advisers or authorities, only where the law requires it.
5. Cookies
This website sets no cookies and uses no tracking technologies. Its fonts and images are served from this website itself, not from third parties.
6. Your rights
Under the UK GDPR you have the right to be informed about how we use your data (this policy), to have access to the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict how we use it, to object to our use of it based on legitimate interests, to withdraw your consent at any time, and to data portability where it applies.
To use any of these rights, email admin@quisoft.co.uk. There is no charge, and we will reply within one month.
7. Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
8. Automated decisions and children
We make no automated decisions or profiles about anyone. This website and QuiSuite are meant for businesses and organisations, not for children.
9. Changes to this policy
If we change this policy we will update it here and change the date at the top.
