Order Processing

Sales orders through to dispatch and invoice, and purchase orders through to goods received, with stock allocated and nothing sent or invoiced twice.

Sales orders and dispatch

  • Sales orders with numbering, status and a printed order (the PDF is kept).
  • Part dispatches with back orders created automatically; invoice straight from a posted dispatch; never over-dispatched or double-invoiced.

Purchase orders and receipts

  • Purchase orders, goods received and the supplier invoice raised from the receipt.
  • A back orders screen and outstanding order reports.

Stock allocation and shortfall

  • Stock allocated to sales orders as it arrives, so you can see what is promised and what is free.
  • Stock Shortfall shows what the open orders need beyond what you hold and raises the purchase orders to cover it.

Fixed Assets and Finance Agreements

The things your business owns, depreciated correctly, and the finance behind them.

Assets

  • An asset register with categories that fill in the ledger accounts; straight-line and reducing-balance depreciation.
  • A monthly depreciation run with a preview, one analysed journal, reversible.
  • Disposals with the sale receipt and the profit or loss posted together.

Finance agreements

  • Hire purchase, leases and loans with their payment schedules, monthly payment runs, completion fees and due reminders.

Job Costing

Know what every job costs and earns, from the first estimate to the final retention.

Jobs, budgets and variations

  • Job records: customer, contract value, status, manager, site, order reference, retention, fixed price or time and materials.
  • Budgets by cost type in money and hours; budget against actual with committed cost from open purchase orders; over-budget jobs flagged.
  • Variations that revise the contract and the budget once approved.

Timesheets, labour and materials

  • Timesheets with cost and charge rates, billable or not; labour posted to the jobs by journal.
  • Stock issued to a job (or returned) at average cost.

Billing and reports

  • Progress claims from % complete, retention held and released, time-and-materials invoicing; nothing billed twice.
  • Work in progress, budget against actual, profitability by job, customer, type or manager, unbilled time and utilisation; job Profit & Loss.

Construction Industry Scheme (CIS)

CIS deductions handled on both sides, as a contractor and as a subcontractor.

Deductions

  • The CIS rate table; your own and each party's status, with effective dates.
  • Sales: the labour element and the deduction taken to CIS Recoverable; purchases: the deduction taken to CIS Payable; both shown on the invoice.

Reporting

  • CIS Payable and Recoverable reports by tax month, with the return (19th) and payment (22nd) reminders on the dashboard.

Multi-currency

Customers, suppliers and bank accounts in their own currency, with daily exchange rates fetched automatically.

Included in every licence

The CRM and Services are part of the core: no extra charge, nothing to switch on.

CRM: Customer Relationship Management

A CRM inside your accounts: your sales team sees balances, overdue invoices and payment habits beside the deals and calls.

Services and Service Contracts

Sell services as easily as goods, and bill maintenance and support contracts automatically.

Services

  • Service types and a drag-and-drop service hierarchy; service quotations and invoices with service dates and the site address.

Service contracts

  • Contracts billed annually or monthly, exact to the penny, renewed automatically.
  • A daily "invoices due" prompt; the invoices are raised unposted for you to check; a full billing history.
  • Several priced lines on one contract: a plan, add-on modules, extra users, each with its own quantity, price and dates, and its own line on the invoice.
  • Service Plans: a price list with a yearly and a monthly price. Choose a plan and the contract is filled in for you.
  • Price changes, upgrades and downgrades from any date, without starting a new contract.
  • Part periods charged by the day: a change made part-way through a period already invoiced becomes a charge or a credit on the next billing run.
  • Invoice on a set day of the month, with a short first period for a contract that starts between dates.
  • Free trials, a grace period, suspension and notice of cancellation, with a dated history of everything that happens to each contract.
  • Email every invoice in the billing run to its customer as a PDF.
  • Spread an annual contract's income over the year as deferred income.
  • Each customer's contracts listed on their own record.
